Executive Operations Associate
Job Description:
The Executive Operations Associate will serve as the CEO’s close partner in executing company priorities, coordinating internal communication, and ensuring effective follow-through on strategic initiatives. This is not a traditional administrative assistant role; rather, it combines operational support, project coordination, and high-level communication designed to empower the CEO to focus on sales and external growth.
Ideal candidates are highly organized, proactive, and eager to grow into a Chief of Staff role, supporting the CEO in implementing the company’s sales playbook, tracking key performance metrics, and managing operational follow-through.
Path to Chief of Staff
This role is structured as a growth path toward a Chief of Staff position, with progressive responsibilities as the candidate develops familiarity with company operations, cross-functional collaboration, and strategic initiatives. High-performing candidates will have the opportunity to assume more decision-making authority and take on strategic leadership responsibilities over time.
Job Responsibilities:
High-Level Coordination and Communication
- Act as a communication liaison on behalf of the CEO, ensuring that messages are clearly conveyed and aligned with CEO objectives.
- Support CEO priorities by coordinating with department heads to track progress, resolve bottlenecks, and facilitate timely follow-through on company initiatives.
- Prepare key communications, status reports, and summaries for CEO review, ensuring that updates across departments remain aligned with company objectives.
Sales Reporting and Strategic Project Support
- Utilize JobDiva and the company’s sales playbook to oversee sales reporting, analyze performance data, and generate actionable insights for the CEO.
- Coordinate with teams to manage and track key projects, attend meetings to capture action items, and ensure follow-through on deliverables.
- Support CEO-led meetings by summarizing outcomes, identifying key takeaways, and working with department leads to ensure effective execution.
Meeting Organization and Executive Coordination
- Organize and prepare agendas for CEO meetings, provide structure to discussions, and participate as needed to capture important follow-ups.
- Serve as a key participant in meetings, translating CEO priorities into actionable plans and coordinating across teams to ensure follow-through.
- Oversee internal scheduling and coordination for project-related meetings using Outlook, ensuring timely collaboration among key stakeholders.
Process Improvement and Operational Efficiency
- Identify areas for operational efficiency and suggest improvements that align with the CEO’s goals for growth and profitability.
- Collaborate with department heads to optimize processes, address potential roadblocks, and adjust strategies as needed to achieve objectives.
Qualifications:
- Experience: 3-5 years in project management, operations, or strategic support, ideally with experience supporting senior leadership or working in a high-growth environment. Experience working in the staffing industry, with a proven track record of success in full-time and/or contingent staffing roles, is essential for this position.
- Technical Skills:
- Communication Tools: Proficient in Outlook for internal communication and coordination.
- CRM and Sales Reporting: Experience with JobDiva for CRM management, generating reports, and supporting sales reporting.
- Documentation and Analysis: Proficient in Microsoft Excel and PowerPoint for data analysis, reporting, and presentation.
- Other Skills:
- Organizational and Project Management: Strong ability to prioritize, manage multiple projects, and ensure follow-through on key initiatives.
- Communication: Excellent written and verbal skills, with an ability to convey complex information effectively across teams.
- Analytical and Problem-Solving: Ability to analyze data, track performance metrics, and recommend solutions to operational challenges.

Travel Requirements:
